How to Compress a PDF for Email Without Making It Blurry

Email bounces with “attachment too large” usually arrive at the worst moment. The fix is almost always the same: the PDF contains images at far higher resolution than anyone will ever view them. Shrinking those images, and only those, gets most files under the limit while the text stays perfectly crisp. This guide explains the real limits, how to tell whether compression will help, and how to do it on a computer or phone without sending the document to a server.
What is the maximum PDF size you can email?
Gmail and Yahoo Mail accept 25 MB per message, Outlook.com and iCloud Mail 20 MB, and many company servers only 10 MB. Encoding adds about a third in transit, so aim for under 10 MB when you do not know the recipient's system.
The 25 MB figure for Gmail is the total for all attachments in one message, as Google's help page explains; anything larger is turned into a Google Drive link automatically. The receiving side matters as much as yours: a message that leaves Gmail at 22 MB still bounces if the recipient's company server stops at 10 MB.
Why a 20 MB file can exceed a 25 MB limit
Email was designed for text, so attachments are converted to text with Base64 encoding. Base64 uses four characters for every three bytes, which makes the attachment about 33% larger, plus a little more for line breaks. A 20 MB PDF becomes roughly 27 MB on the wire and can be rejected by a server with a 25 MB limit. The “safe” column in the table allows for this.

Find out why the file is large
Look at the file size divided by the page count. A text document exported from Word is usually tens of kilobytes per page. Anything over about 500 KB per page means images: scans, photos, or a presentation with full-resolution pictures. Those are the files compression helps most.
The numbers explain why. A phone photo is around 12 megapixels and 3 to 5 MB. Placed on an A4 page at 15 cm wide, it carries about 680 pixels per inch, while a screen shows roughly 100 to 150 and a good office printer needs 300. A scanner set to 600 DPI color produces four times the pixels of 300 DPI. All of that detail is invisible to the reader and can go.
A PDF that is large because it has 900 pages of text will shrink only a little, and splitting it may be the better option.
Compress it in your browser
Compress PDF works on your device, which matters because oversized attachments are often exactly the documents you would not upload anywhere: signed contracts, medical letters, tax paperwork. Files up to 200 MB are accepted, and password-protected PDFs ask for the password first.
- Open Compress PDF and choose the file.
- Start with Recommended. It resizes JPEG photos that are above about 150 DPI and cleans up unused data without touching text.
- Press Compress PDF. Progress is shown image by image, and Cancel stops the job at any time.
- Compare the new size with the original on the result screen. If less than 1% could be saved, the original is kept, so the tool never hands back a larger file.
- If it is still too big, run the original again with Extreme. This is what other sites call super compression: every page becomes a 110 DPI image, so scans and photo-heavy files get very small, but text can no longer be selected or searched.
What the three levels do
Lossless changes nothing visible. It rewrites the file structure with qpdf, packing objects more tightly and dropping unused data; expect a few percent, more on files saved many times by an editor. Recommended adds image downsampling to about 150 DPI and typically takes 50 to 90% off scans and photo-heavy files. Extreme replaces each page with a compressed picture and is the last resort for an upload form with a hard limit.
On iPhone and Android
The same page works in Safari and Chrome on a phone. Pick the PDF from Files or your downloads, compress, then share the result straight into Mail or Gmail. Phones have less memory than laptops, so a 150 MB scan may take a few minutes. Keep the tab open and the screen on until the result appears.
Does compressing a PDF reduce quality?
Only for images, and only at levels that resample them. Real text and vector graphics are stored as characters and shapes, not pixels, so Lossless and Recommended leave them exactly as sharp as before at any zoom.
Scanned text is a different matter, because it is already an image. At 150 DPI, normal 10 to 12 point print stays comfortably readable on screen and in print. Six-point footnotes, faint stamps and handwritten signatures are the first things to suffer, and with Extreme every page is affected.
Open the compressed file and zoom to 100% on the page with the smallest print or the most detailed image. If a signature or stamp becomes hard to read, go back one level. For a scan you need to search later, run OCR PDF before compressing with Recommended, which keeps the text layer. Extreme removes it.
Other ways to get under the limit
- Remove what nobody needs: blank scanned backs, duplicate pages or a 30-page appendix. Remove Pages takes seconds and reduces size in proportion.
- Split the document into two emails. Split PDF can divide a file into parts by page range.
- Fix it at the source: rescan at 150–200 DPI in grayscale instead of 600 DPI color, or compress pictures in Word (select a picture, then Picture Format > Compress Pictures) before exporting.
- Use a link: iCloud Mail Drop (up to 5 GB, available for 30 days), Google Drive or OneDrive links bypass attachment limits for very large files, at the cost of the file living in a cloud account.
Why did the PDF barely shrink?
Because there was little left to remove. Three situations account for nearly every disappointing result.
It is mostly text
Text and fonts are already compressed inside a PDF. A 300-page report at 4 MB is about 13 KB per page, and no tool will halve that without turning pages into pictures, which would make it bigger. Split it or send a link.
The images were already optimized
If the file was exported with “smallest size” settings or went through a compressor before, the images are at or below 150 DPI and Recommended leaves them alone. Compressing twice does not help, and repeated lossy compression only adds JPEG artifacts. Always start again from the original, not from an already compressed copy.
The images are not JPEGs
Recommended resamples JPEG photos, which is what cameras and most scanners produce. Black-and-white fax-style scans are left alone, because they are already very compact, often 30 to 50 KB per page, and turning them into JPEGs would make them bigger. Screenshots stored losslessly are also left as they are. If such a file is still too large, remove pages, split it, or accept Extreme.
What not to do
Avoid “printing” the PDF to a new PDF to make it smaller. It often rasterizes pages, destroying selectable text and making the file larger, not smaller. On a Mac, the Reduce File Size filter in Preview's export dialog uses aggressive settings that can make text-heavy pages look smudged.
Do not zip the PDF expecting a big saving: PDFs are already compressed internally, so a ZIP typically saves only a few percent, and some mail filters block ZIP attachments outright. And think twice before uploading a sensitive document to the first compressor a search returns. Most of them process files on their servers.
