How to Add a Watermark to a PDF (DRAFT, CONFIDENTIAL, Logo)

A watermark is a message printed across every page: this is a draft, this is confidential, this copy was sent to this person, this design belongs to this studio. The idea is older than printing; paper makers have pressed faint marks into sheets since the 13th century, as the Wikipedia article on the watermark describes. On a PDF it is one of the simplest ways to set expectations for how a document should be treated, as long as you understand that it is a label and not a lock.
How do you add a watermark to a PDF for free?
Open Add Watermark, choose the PDF, type the text or pick a logo, set opacity and position in the live preview, and download the stamped copy. The file is processed in the browser and is not uploaded.
- Choose the PDF. Files up to 200 MB are accepted, and the first page appears in the preview.
- Pick Text and type the wording, or pick Image and select a logo. A PNG with a transparent background looks best.
- Set font size, color, opacity and rotation. The tool starts at 30% opacity and 45°, which is the classic diagonal stamp.
- Choose a single watermark in one of nine positions, or tile it across the whole page.
- Apply it to all pages or a range such as 2-10, then download the new file.
On iPhone and Android
The same page works in Safari and Chrome on a phone. Tap Choose file, pick the PDF from Files or Downloads, and use the sliders with a finger. Neither iOS nor Android has a built-in way to watermark every page of a PDF; Markup in the iPhone Files app can add a text box, but only one page at a time.
On Mac and Windows
Preview on the Mac and Microsoft Edge on Windows can annotate a PDF but have no watermark feature that repeats across pages. The free Adobe Acrobat Reader does not include one either; it is part of the paid Acrobat editions. A browser tool or the source application are the free routes.
Choose wording that does the job
Short wording works best. A long sentence repeated diagonally becomes unreadable at low opacity, while one word or a name and date stay legible.
- DRAFT: when the document is final, generate a new PDF from the source. Do not try to edit the watermark out of the draft.
- CONFIDENTIAL: pair it with a line in the email. The watermark reminds; the message sets the rule.
- Recipient-specific, such as “Prepared for Northwind Ltd – 12 Sept 2026”: if the document leaks, you know which copy it was, and people are less likely to share something with their own name on it.

Watermark your ID copies
When a landlord, employer or hotel asks for a copy of your passport or driving licence, a watermark stating the recipient, purpose and date (“Copy for ABC Lettings – tenancy application – Sept 2026”) makes the scan much less useful to anyone who later steals it. Place it across the photo and the document number at moderate opacity so the document is still readable but not reusable.
If the ID is a photo from the phone, turn it into a PDF first with JPG to PDF, then add the watermark. Check whether the recipient allows it; a few official processes require an unmarked copy.
Design tips
- Light gray or the brand color at low opacity reads as a watermark. Solid black reads as a stamp and distracts.
- For documents people must read, stay around 15–30% opacity. Heavier marks make printing and photocopying worse.
- Center diagonal placement covers the most content, which matters for preview copies. A corner suits branding.
- Use a logo at least 1,000 pixels wide. A small logo scaled up looks blurred in the PDF.
- Check a page with a dark photo or table. A gray watermark can disappear on dark areas, so a different color or slightly higher opacity may be needed.
- Text watermarks use the standard PDF fonts, which cover Western European characters. For Arabic, Chinese, Cyrillic or other scripts, make an image of the text and use an image watermark.
Single or tiled, and in what order?
A single watermark suits status words such as DRAFT, where the aim is to inform. A tiled watermark suits ownership and tracing, where the aim is to make removal tedious. The tiled layout staggers the text across the whole page, so a smaller font, around 24–36 pt, gives more repeats and better coverage than one large word.
Order matters when several steps are involved. Combine files first with Merge PDF, so the mark is identical on every page. Add page numbers before the watermark so the numbers stay crisp underneath it. Watermark next. Compress after that if the file is too large for email. Add a password last, because an encrypted file has to be unlocked again for every later edit.
Watermarking copies for several recipients
When the same document goes to several people, create one copy per recipient with their name in the watermark. Put the recipient's name in the file name too, so you never attach the wrong copy. Work from the same clean original each time; do not watermark a file that already carries someone else's name.
A tiled layout suits this purpose. A single centered name can be covered with one white rectangle, while a tiled pattern runs through every paragraph and is tedious to remove.
Can a watermark be removed from a PDF?
Yes, by someone with editing software and patience, so treat a watermark as a deterrent and an identifier, not as protection. It discourages casual misuse and tells you which copy leaked. It does not stop copying.
How hard removal is depends on how the mark was added. Some tools add a watermark as a separate annotation or optional layer, which the PDF specification, ISO 32000-2, allows and which an editor can delete in one click. Add Watermark draws the mark into the page content itself, which is harder to isolate, particularly when tiled. The text underneath stays selectable and searchable either way.
When you need more than a watermark
- To control who can open the file, encrypt it with Protect PDF and share the password separately.
- To make sure content cannot be seen at all, remove it with Redact PDF. Covering it is not enough.
- To stop text being copied out of a preview, Flatten PDF can turn every page into an image after watermarking. The file gets larger and is no longer searchable.
Keep the original
Watermarking changes the page content of the file you download, and there is no undo once the tab is closed. Keep the unwatermarked original if you might need a clean version later.
Should you watermark in Word or in the final PDF?
Watermark in the source application when you own the source and need one version. Watermark the PDF when files come from different sources, when you cannot edit the original, or when you need several recipient-specific copies.
Word and Google Docs
In Word for Windows and Mac, go to Design > Watermark and choose a preset such as DRAFT or a custom text or picture. It is applied to every page through the header. In Google Docs, use Insert > Watermark and choose Image or Text. Both carry through when the file is exported as a PDF.
Troubleshooting
- Characters show as question marks: the text uses a script the built-in fonts do not cover. Use an image watermark.
- The watermark hides behind nothing but still looks faint on scans: scanned pages are dark images. Raise opacity or pick a color that contrasts with the paper.
- The file asks for a password: enter it when prompted. The watermark is applied to the decrypted document on your device.
- Only some pages need the mark: choose a page range, for example to skip a cover sheet.
- The mark is upside down or off-center on a few pages: those pages are probably rotated or landscape. Placement is calculated from each page as displayed, so check them in the preview with the arrows; if the source page itself is sideways, fix it with Rotate PDF first.
- The stamped file is much larger: a very large logo image was embedded. Resize the logo to around 1,000–2,000 pixels wide, or run Compress PDF afterwards.

Questions people also ask
What opacity should a PDF watermark be?
Between 15% and 30% for documents people need to read, and 35% to 50% for previews you want to protect. Below 10% the mark vanishes when printed; above 50% it starts to hide the text underneath.
Does a watermark make a PDF legally protected?
No. Copyright exists without a watermark, and a CONFIDENTIAL stamp creates no legal duty by itself. It does show that the recipient was told the status of the document, which can support a confidentiality agreement that already exists.
Can I add a watermark to only some pages?
Yes. In Add Watermark switch Pages from All pages to Choose pages and enter a range such as 2-10. This is useful for skipping a cover page or marking only an appendix.
Will a watermark show when the PDF is printed?
Yes. The watermark is part of the page content, so it prints exactly as it appears on screen. Very faint marks can fade on some office printers, so print one test page before sending a long document to print.
